Permit & Planning

  • The event operates under the City of Cape Town Events By-law and the City’s event-organising guidelines.

  • The framework requires:

    • Documented safety/evacuation plan

    • Medical plan

    • Security and Access-control plan

    • Venue operations plan

    • Waste plan

  • All the above must be overseen by qualified professionals.

  • Access Control & Accreditation

    • Performers, educators and approved helpers receive colour-coded accreditation for back-of-house/loading areas.

    • Parents and guests use public entrances only.

    • Bag checks may occur at entry as part of the approved safety plan and venue rules. 
       

  • Medical & Security On Site

    • Accredited medical and event security teams will be present in line with the City-approved safety plan. Schools should disclose relevant medical information during registration so providers can be briefed. (These are standard expectations in the City’s event-safety guidance.) 
       

  • Noise, Waste & Sustainability

    • This is a live amplified event with scheduled and managed levels under the City’s events framework.

    • An Event Waste Management Plan is implemented (separation, recycling, and post-event clean-up), with forms and processes provided by the City’s Solid Waste unit for events. 
       

  • Privacy (POPIA) & Children’s Information

    • We use opt-in parental/guardian consent for learner images and personal data, in alignment with DBE guidance and POPIA’s conditions for lawful processing. 
       

  • Music Licensing

    • Public performance of music at the event is licensed via SAMRO. Accurate set lists from schools enable royalty reporting to rights-holders.
